Terms and Conditions of Job Orders
The following general information is provided to help answer questions about the policies and procedures of immedia as they relate to the handling of your direct marketing program.
General Information
All prices are quoted based on our general terms and conditions, unless specifically stated otherwise in the written quotation.
To avoid any misunderstanding, and to ensure that all customer work is processed in an orderly manner, all instructions should be in writing; purchase orders are preferred. Instructions not provided in writing may lead to problems for which immedia cannot be responsible.
Please let immedia help you. Contact your immedia account manager early, during design and layout (or at least before printing). Working together, we may prevent problems, ensuring that materials meet both machine specifications and U.S. Postal Service regulations.
If shipments of customer materials are broken or spilled when they are received at immedia, the customer will be notified as soon as possible. The additional costs for any labor required to repack or unload damaged shipments will be billed directly to the customer, not to the shipper or printer.

Scheduling
immedia requests at least one week notice for most job processing, depending on the size of the job. If your mail list is provided to us on electronic media, we need to have the file(s) three full working days prior to the arrival of the mail pieces at our facility. This facilitates job processing by allowing time for successful, complete file importing. In the event your print or mail schedule changes, please inform us immediately; we will make every effort to accommodate the revision.
immedia understands the importance of deadlines; we make every effort to meet scheduled commitments. To process work on schedule, we rely on all material being delivered to us on time and in good condition. If your material is late or in less than satisfactory condition, we will make every effort to produce your job on time, or as soon as possible thereafter.
If material is curled, poorly folded, improperly or inconsistently sized, glued together, or otherwise in poor condition, it may slow machine production or require additional handling; processing such materials may incur additional labor charges.
Machinability
Most immedia jobs entail some type of processing through automated equipment. It is critical that the mail pieces be consistent in size, paper weight, and folds. In addition to causing difficulty in the automated process, inconsistent pieces are also unlikely to be accepted by the Postal Service as Bulk Mail. Your printer should palletize and/or box mail pieces with the knowledge that the material is to be machine processed.
Delivery Timing
Standard (formerly 3rd Class) Mail offers the most economical alternative for delivery of your direct mail piece, but delivery times may be longer than First Class service; this information should help in planning a realistic schedule.
If you are mailing a time dated piece, be sure to include delivery days in your schedule. To assist in timely delivery, you may print a requested delivery date on your mail piece. This notification should appear under the permit imprint or above the address block and should say, "Postmaster: Time Dated Material, Please Deliver by (Day, Month, Year)." In addition, if you inform us that your mail pieces are time dated, we can affix special tags to mail bags, trays, and/or pallets; as part of our service, we will also work with the Postal Service to facilitate timeliness.
Verification
Receiving will be verified by skid or carton count. After receipt, depending on size and urgency of job processing, immedia will attempt to weigh verify the piece count. Please be aware that this process can vary depending on the consistency of the piece, and the packing materials used. Verification allows us to be as proactive as possible in resolving any quantity concerns prior to processing. We must accept printers' counts until processing; we can assume no responsibility for shortages discovered at the time of processing.
Unless immedia is directed to do so by the customer and compensated at current rates, no inventories other than box and skid counts will be performed. To facilitate completion of mailing orders, print quantities delivered must be higher than mail counts; please consult your immedia account manager for specifics.
Mailing Lists
Mailing lists provided by the customer should be in machine processable format, delivered or mailed to immedia flat and protected to prevent creasing, tearing or curling. Complete counts - preferably computer counts - should be provided for each mailing list. Special USPS requirements may be applied to these counts to qualify the mailing for certain discounted postal rates.
immedia is a broker of mailing lists and makes available to its customers a variety of specialty lists. List rental requires that a list rental agreement be executed between immedia and the customer.
Freight Shipments
If you do not specify the carrier, immedia will choose the most appropriate carrier based on the service required.
Please do not have your materials shipped to immedia collect. Any collect shipment received by immedia will be invoiced, along with a 10 percent handling charge, to the customer.
Financial Requirements
To allow sufficient time for deposit with the U.S. Postal Service, when you use immedia's permit number, we require that all checks to cover postage be in immedia's possession three days before your mail date. (In the case of multiple drops, the funds for the initial drop must be in three days prior; subsequent mail drops will need postage funds per an agreed upon schedule.)
If the postage deposit is not received, immedia cannot advance the money required, and the U.S. Postal Service will not accept your mail. Please make certain that you have advanced adequate postage to cover your entire mailing, including the foreign portions. When using your own permit, funds must be deposited the day prior to the scheduled drop date. To help ensure deposit of sufficient funds, we will gladly estimate postage for you.
If funds have not been deposited, causing us to bring the mail back, you will be charged a trip fee. New customers, and those who do not have an account with immedia, must pay, prior to processing, all postage costs plus estimated production costs at the time the project is received.

immedia's payment terms for established accounts are net 30 days from date of invoice.
If a bill becomes past due, we reserve the right to not process additional work until the overdue bill has been satisfied.
Limitations of Liability
The liability of immedia, Inc. for any error, mistake, or failure to perform services hereunder is expressly limited to the value of the work performed. Under no circumstances shall immedia, Inc. be liable to any customer for said customer's loss of business, loss of profits, or other consequential damages suffered by such customer as a result of any error, mistake, or failure to perform services by immedia.
General Charges
The chargeable items listed below are not included in prices quoted unless specifically stated:
The packing and handling of overages will be billed at current rate plus materials and freight charges.
Storage charges on material held more than 30 days after job completion will be billed at current rate per skid or square foot of space used on a monthly basis. Any materials requiring storage for a period of ninety days or longer will be subject to storage charges.
If a customer requires a physical inventory of materials received or materials stored, the customer will be billed at the current hourly charge. Charges will be compiled on an as-needed basis.
If, due to shortages of material supplied by the customer, an additional set-up is required to complete a job, there will be additional charges, based on the job requirements.
When freight bills are paid by immedia on a customer's behalf, a handling charge of 5% of the amount of each freight invoice will be charged to the customer.
Pick-up and/or delivery to or from immedia will be billed at the current rate
